Virtual Assistant for Short-Term Rental Management (Guest Communication, Coordination, Hostaway)

We’re looking for a reliable, organized, and proactive virtual assistant to join our growing vacation rental management company.

We currently manage 4 high-end homes in Sonoma Wine Country using Hostaway across Airbnb, VRBO, Booking, and a direct website, and we're actively expanding. If you're experienced in short-term rentals and enjoy solving problems, communicating with guests, and making operations run smoothly—this could be a great fit.

🧭 Scope of Work & Responsibilities
-Respond to guest messages within 15 minutes on average (max 1 hour),  with focus on 8am-2 pm pst Mon-Sunday
-Use Hostaway to manage calendar availability, pricing, and guest threads

-Use ChatGPT and SOP to craft messages and determine appropriate action
-Coordinate with cleaners via Turno and other messaging and VOIP phone platforms (Openphone or Google Voice)
-Monitor guest arrivals and quiet hour compliance using Ring, Blink, and Minut
-Flag and escalate urgent issues to the owner with clear, concise context

Weekly Responsibilities:
-Follow up on unresolved issues or maintenance tasks
-Ensure all cleanings and turnovers are on schedule
-Track and respond to guest reviews
-Double-check listings, cleaning schedule, and sync calendars

-Ensure appropriate inventory is stocked

-Keep running list of to do's and action items to take care of in each house

✅ You’ll Succeed in This Role If You Have:
-Prior experience managing Airbnb or short-term rentals as a VA, cohost, or support agent
-Hostaway experience (or comfort learning similar PMS tools quickly)
-Excellent written English and guest communication skills
-Strong follow-through and ownership of tasks
-Familiarity with Turno, PriceLabs, Ring, ChatGPT, Blink, G Suite, and other messaging and VOIP phone platforms
-Calm, clear, and proactive approach to handling guest or maintenance issues
