Position Summary:The Office Coordinator plays a crucial role in the day-to-day operations of our agency. This position involves coordinating recruitment efforts, facilitating communication between clients, case managers, and employees, managing scheduling, billing claims, and providing excellent customer care through phone and email communication.
Key Responsibilities:
Recruitment:Assist in the recruitment and onboarding process of new employees.Post job vacancies, screen applications, and schedule interviews.Conduct reference checks and ensure all required documentation is completed.
Client, Case Manager, and Employee Communication:
Serve as the primary point of contact between clients, case managers, and employees.Address and resolve inquiries or concerns promptly and professionally.Maintain open and effective communication channels to ensure smooth operations.
Scheduling:Coordinate and manage the schedules of PCA staff to meet client needs.Adjust schedules as needed to accommodate changes or emergencies.Ensure all shifts are covered and communicate any changes to relevant parties.
Customer Care:
Answer phone calls and respond to emails promptly and courteously. Provide accurate information and assistance to clients, employees, and other stakeholders. Handle complaints and issues with sensitivity and in accordance with agency policies.
Administrative Support:
Maintain organized and up-to-date records and files. Assist with general office duties such as filing, data entry, and ordering supplies. Support management with special projects and tasks as needed.
Qualifications:
High school diploma or equivalent; associate’s or bachelor’s degree preferred. Previous experience in an office coordinator or administrative role, preferably in a healthcare or PCA agency. Excellent communication and interpersonal skills. Strong organizational and multitasking abilities. Proficiency in Microsoft Office Suite and other relevant software. Ability to handle sensitive information with confidentiality and professionalism. Positive attitude and a strong commitment to providing excellent customer service.
