Senior Executive Assistant

Over 15 year experience in Senior Executive Administrative Support Services • Catering coordination for multiple meetings and event needs • POS Database Creation & Management • Customer Service expertise • Accounts Payable for all matters • Accounts Receivables for all matters • Provide direct executive-level administrative support • Experience in preparing new site selection deal packages via PowerPoint, Excel and Google Earth Pro by coordinating with the Real Estate Department and Business Analytics Team. • Experience in managing and updating the New Deal Pipeline Report (30/60/90) and Site Selection Planner Report. • Administrator for Matrix by providing access to new users, removal of access and troubleshooting assistance. • Manage and process of all Pcard transactions for Real Estate and Executive Level Invoicing. Also have assisted the Corporate Jet Office with all of their Pcard transactions while fellow associate was on maternity leave. • Processing of all Prelim and Final ROI’s into Matrix as well as review of leasing information, comparison data and updates to Construction Job Cost Summaries. • Extensive experience in Domestic & International Travel Accommodations, Expense Audit/Reimbursement Submissions, Calendar Management, Meeting Coordination and Executive Level Document Preparation. • Provide direct executive-level administrative support to the Senior Vice President of Mortgage Collections Call Center consisting of 7 Department Manager direct reports, 24 Unit Manager reports and 271 collection rep reports. • Coordinates all site projects and events while exercising the ability to improvise, improve procedures, and meet demanding deadlines to include a major site consolidation project of 800+ employees. • Space Occupancy Liaison for all departments to ensure proper capacity reports are accurately processed. As well as management of floor plan design organization and movement. • Plan and coordinate corporate luncheons, and develop presentations for related on-site and off-site meetings. • Organize the details of special events, travel arrangements, corporate agendas and itineraries. • Direct business relations and distribution of company literature to collection site and executives. • Manage capital purchases, direct vendor relations, generate and maintain expense tracking records. • Process monthly expense reports reflecting supporting documents and budget overview status. • Prepare and maintain annual vacation records on 300+ departmental employees. • Collaborate with departmental managers on weekly deliverables for master reporting needs.
