VIRTUAL COMMUNICATIONS OFFICE Meeting planning, coordination travel, budget management and calendar support using Virtual meeting tools Travel and expense management Fast track editing capability (memos, other correspondence) Report consolidation Responsible for the overall high speed administrative excellence, efficiency and compliance within the team. Assists team members with the creation of communication materials via Microsoft PowerPoint in order to communicate team and program progress to other functional groups within and outside the organization and to business unit senior executive staff. Supports company mandated training and policy adherence programs within the team. Act as an information resource on departmental organizational policies and procedures. Multi-task and manage through issues proactively. Provide appropriate information to contacts (handle questions, issues and follow ups). Apply knowledge of business and department objectives and priorities. Ensure personal understanding of quality policy/system items that are applicable to the department. Review available information regarding various topics, summarize, and debrief appropriate staff. Plan and execute various conferences (in person, virtual, video), coordinate meetings, and organizational strategy planning meetings. Include interaction with staff at location for scheduling, logistics, planning support materials and interfacing with those attending. Represent the company through interaction with peers, upper management, suppliers, stakeholders on a frequent basis. Use problem solving techniques, tact, and discretion when handling telephone calls, email requests, processing transactions and managing other requests. Coordinate administrative duties for the department including ordering supplies as requested and facilities coordination. Interfaces with Human Resources in managing the process for hiring, on-boarding and off-boarding employees. support in the areas of PR, Social Media and Internal Communications. The ability to successfully coordinate and deliver integrated communications campaigns support for tradeshows and seminars
