AI Developer Needed to Automate Postcard Template Personalization & PDF Proof Generation
Project Description
We are a U.S.-based direct mail marketing company looking to build an AI-powered production system that automates the personalization of our existing postcard templates.
This is Phase 1 of a much larger AI automation initiative. The successful developer will have the opportunity to continue into additional phases, including landing page automation, online ordering, workflow automation, and AI-powered production tools.
About Our Company
We specialize in patient acquisition marketing for medical and dental practices across the United States.
Each client orders customized direct mail campaigns.
Currently, our designers manually update every postcard by replacing items such as:
- Practice Logo
- Doctor Name
- Practice Name
- Address
- Phone Number
- Website
- Seminar Dates
- Seminar Times
- Venue Information
- RSVP Phone Number
- Tracking Number
- QR Code
- Promotional Offer
- Call-to-Action
- Images (when applicable)
Although the design remains largely the same, every campaign requires these variable fields to be updated manually.
We want to automate this process.
Objective
Build an AI-powered system that can take one of our existing postcard templates and automatically generate a new personalized version based on client information entered into a form or uploaded from a spreadsheet.
The system should preserve the original design while replacing only the variable content.
Phase 1 Requirements
The AI system should be able to:
- Read existing postcard templates.
- Detect editable text fields.
- Replace text while maintaining fonts, spacing, alignment, and overall design.
- Replace logos.
- Replace QR codes.
- Replace tracking phone numbers.
- Replace doctor photos or other images when applicable.
- Generate a high-resolution print-ready PDF.
- Generate a JPG proof for client approval.
The output should look as though a professional graphic designer created it.

- Create internal job ticket
- Route project for approval
- Prepare production files
Phase 4
AI production assistant.
The goal is to automate as much of our production workflow as possible while maintaining high design quality.
