PROJECT OVERVIEW
This agreement outlines the terms for illustration services for Let's Get Outta Here!, Book 5 in the Nia's Family Adventures children's book series. All illustrations are work-for-hire and become the exclusive property of Kimani Haley upon completion and payment.
PROJECT SCOPE
Deliverables
The illustrator will deliver:
25 pages of illustrations (spot, single, double)
Title page, copyright page, dedication page
Book cover design (paperback and hardcover formats)
Text placement and layout on illustrations
All files formatted for Amazon KDP, Kindle eBook, and IngramSpark distribution
Creative Requirements
All work must be:
100% original artwork—no clip art, no AI, no stock images
Consistent with the provided style references
Featuring authentic, respectful illustrations of African American and multicultural characters
Professional quality and print-ready upon final delivery
TIMELINE
Project completion expected within 6 months from agreement acceptance. The illustrator agrees to meet all milestone deadlines as outlined in the Payment & Milestones section below.
BLACK & WHITE LINE ART APPROVAL PROCESS
CRITICAL: Black & white line art must be submitted for approval BEFORE any coloring begins.
The illustrator will:
Submit high-resolution black & white line art for each illustration page to Kimani Haley for review
Wait for written approval from Kimani Haley before proceeding to the coloring stage
Incorporate any requested revisions and resubmit for final approval
Kimani Haley will:
Review black & white line art within 5 business days of submission
Provide detailed feedback on composition, character placement, and any needed changes
Issue written approval (via email) once all line art is finalized and acceptable
Coloring cannot begin until written approval is received
Unlimited revisions to line art are included before moving to color.
REVISIONS
Unlimited revisions are included in the project budget. The illustrator agrees to incorporate all requested revisions until final deliverables meet Kimani Haley's approval.
FINAL DELIVERABLES & TECHNICAL SPECIFICATIONS
File Formats Required
All final illustrations must be delivered in:
One high-resolution PDF containing all pages at 8" x 10" or 8.5" x 8.5" (400 DPI or above)
Individual .JPG files at 400 DPI or above
Individual .PSD files with all layers intact
High-resolution final black & white line art files (before coloring)
Platform-Ready Files
The illustrator will provide print-ready files formatted for:
Amazon KDP (paperback and cover)
Kindle eBook (optimized for digital display)
IngramSpark (hardcover and cover)
PAYMENT & MILESTONES
Total Project Budget: $900
Payment Schedule (by milestone):
[25%] Upon agreement acceptance
[25%] Upon submission and approval of all black & white line art
[25%] Upon submission of all colored illustrations and cover design
[25%] Upon final delivery of all formatted files (KDP, IngramSpark, Kindle)
Payments are processed through Guru. The illustrator is responsible for all applicable taxes and business expenses.
INTELLECTUAL PROPERTY & OWNERSHIP
Work-for-Hire
This is a WORK-FOR-HIRE agreement. All illustrations, designs, and creative work produced under this project are the exclusive property of Kimani Haley. The illustrator retains no rights to the work and may not reproduce, distribute, or publicly display any illustrations without written permission.
Copyright & Credit
Kimani Haley retains all copyrights. The illustrator may receive credit in the book as 'Illustrations by [Name]' at Kimani Haley's discretion. After publication, the illustrator may link to the book on retail sites (Amazon, IngramSpark) and mention the project professionally.
Confidentiality
The illustrator agrees not to post or share any project materials (sketches, line art, or finals) publicly or on social media without written permission.
GENERAL TERMS
Independent Contractor
The illustrator is an independent contractor. This agreement does not create an employment relationship.
Communication
All communication occurs via the freelance platform messaging system. The illustrator agrees to respond to messages within 24–48 business hours.
Quality & Deadline
The illustrator is responsible for delivering high-quality work that meets all specifications. Failure to meet agreed-upon milestone deadlines or quality standards may result in project termination, with payment prorated for completed work.
Governing Law
This agreement is governed by the laws of the State of Ohio.
AGREEMENT ACCEPTANCE
By accepting this project on the freelance platform, the illustrator agrees to all terms outlined in this agreement. Kimani Haley agrees to process payments according to the milestone schedule upon receipt of deliverables meeting these specifications.
