About the RoleWe’re a group of U.S.-based pain management / regenerative medicine clinics seeking a detail-obsessed Data Entry VA to own our recurring reports and dashboards. You’re not a dataanalyst—you’re the person who makes sure every sheet is accurate, current, and presentation-ready every day/week/month.You’ll gather numbers from internal sources, update spreadsheets, apply formulas, build simple charts, and keep our leadership view clean and consistent—with 100% ownership and minimal hand-holding.Responsibilities● Maintain and update weekly, monthly, quarterly, and yearly spreadsheets and dashboards.● Enter data accurately; audit for errors, duplicates, and missing values.● Use formulas (SUMIFS, COUNTIFS, VLOOKUP/XLOOKUP, INDEX/MATCH, IF/IFS, DATE functions) and pivot tables.● Create and refresh charts/graphs (line, column, bar, pie, combo) suitable for exec reviews.● Document update procedures (checklists/SOPs) and propose improvements.● Coordinate with managers/operators to pull source reports and clarify definitions.● Track version history; keep files organized in shared drives.● Meet fixed reporting deadlines (EOD/weekly/monthly closes).Nice-to-Have (Not required)● Healthcare familiarity (e.g., visits, show rate, cancellations, collections, patient satisfaction).● Hands-on with Google Sheets, Excel, and basic Google Data Studio/Looker Studio or similar.Must-Have Qualifications● 5+ years of experience in spreadsheet-heavy data entry/reporting roles.● Strong command of Excel/Google Sheets formulas and pivot tables.● Comfortable creating clear, well-labeled charts/visuals.● Excellent attention to detail; you spot anomalies and ask smart questions.● Proactive ownership—able to follow a process once shown and run with it.● Solid written English; reliable internet; consistent availability.Tools You’ll Use: Google Sheets / Excel, shared drives, basic BI (optional), task tracker (Asana/Jira/Trello), and messaging (Slack/Teams).Hours & Engagement● 10–20 hrs/week to start; can scale based on need and performance.● Some overlap with U.S. business hours for handoffs is preferred.
