I am seeking an Executive Assistant.  You will be creating spreadsheets and collecting and organizing data. Sending emails and contacting developers.  This is a long term project with approx 15 to 20 hours per week.  



Pipeline & Data Management

  • Maintain and regularly update master spreadsheets for new and existing developments, including:

    • Property name, address, unit counts

    • Developer, owner, and management company information

    • Parcel IDs, plats, block/lot data

    • Opportunity status

    • Construction timelines and milestones

  • Assist with CRM-style organization of leads, prospects, opportunities, and follow-up tasks.

  • Track project progress and coordinate updates

Track and follow up on required plan sets, plats, utility sheets, engineering drawings, and property information.


Research & Property Intelligence

  • Locate and retrieve publicly recorded plats, replats, and utility easements using county clerks, city planning portals, and GIS systems.

  • Conduct ownership and management research using appraisal districts, Secretary of State business records, and property databases.

  • Compile property profiles for new leads and maintain accurate data for the pipeline.

  • Assist in verifying construction phases, expansion opportunities, and serviceability.

Administrative Support

  • Manage email organization, reminders, and follow-up tasks for the Business Development team.

  • Prepare meeting agendas, recaps, and documentation.

  • Support inbound nomination submissions from community stakeholders.

  • Assist in maintaining internal folders, project documentation, and compliance records.

Marketing & Communications Support (Light)

  • Help create and update property-facing materials, informational flyers, FAQ sheets, and nomination resources.

  • Assist with communication drafts sent to developers, builders, HOAs/POAs, and management companies.




Qualifications Required

  • Strong organizational and project-tracking skills.

  • Excellent communication, writing, and document-editing ability.

  • Proficiency with Excel/Sheets (sorting, filtering, VLOOKUP/XLOOKUP is a plus).

  • Ability to research public records, property data, and legal documents.

  • High attention to detail and accuracy.

  • Ability to manage multiple projects and deadlines simultaneously.

  • Professionalism in dealing with external partners.

Preferred

  • Experience in telecom, construction, real estate, development, or utilities.

  • Knowledge of plats, easements, property records, and county/city planning systems.

  • Experience with CRM tools or pipeline management.

  • Intermediate-to-advanced Excel skills.
