Administrative & Secretarial Personal / Virtual Assistance

Objective: Help us find, vet, test, and manage high-quality freelancers for our digital business.


1. WHAT — Main Purpose of the Role

You will be responsible for recruiting the right freelancers across multiple skill sets (AI Video Editors, Front-End Developers, Charting Specialists, Content Creators, etc.) for our company.

Your goal is to ensure we hire reliable, skilled freelancers who:

  • complete tasks on time,

  • have the exact technical skills required,

  • stay committed until the project is finished,

  • match our workflow and quality standards.


2. WHY — Why This Role Exists

We manage complex digital projects, including:

  • financial charting development (React, Lightweight-Charts, Trading indicators)

  • AI video content production (CapCut AI, VideoExpress, Runway, Pika, etc.)

  • long-term front-end development

  • YouTube automation

  • stock analysis content

We need an HR Specialist to ensure that:

  • we no longer waste time or money on unreliable freelancers

  • freelancers are vetted properly before hiring

  • every hire is aligned with our technical needs

  • each freelancer is monitored and stays committed up to project completion

This role ensures efficiency, reliability, and project continuity.


3. WHO — Who We Are Looking For

We need someone who is:

✔ Experienced in hiring freelancers and OnlineJobs

✔ Highly skilled in screening technical talent

(for example: React/Next.js, charting libraries, AI video editors, prompt engineers, content editors, etc.)

✔ Able to evaluate both technical skill AND reliability

✔ Able to create tests and screening procedures

✔ Strong communicator and negotiator

✔ Organized, detailed, able to manage multiple hires

✔ Fluent in English


4. HOW — Responsibilities and Processes

The HR Specialistwill perform the following:

A. Create Accurate Job Posts Based on Our Requirements

  • Translate project requirements into detailed job descriptions

  • Use specific keywords to find EXACT skill sets
    (e.g., “CapCut AI Video Editor”, “React Developer + Lightweight Charts”)

B. Source Talent Across Multiple Platforms

C. Screen & Vet Candidates ThoroughlyTechnical Screening:

  • Review portfolio & past projects

  • Ask specific technical questions

  • Evaluate practical skills

  • Send short skill tests (without requiring paid trials)

Reliability Screening:

Ask questions to identify persistence and commitment, such as:

  • “Tell me a time you persisted through technical difficulty.”

  • “Describe your process when a client request is unclear.”

  • “Explain why you left your last long-term client.”

D. Manage the Hiring Pipeline

  • Shortlist candidates

  • Schedule interviews

  • Present top candidates to the founder

  • Coordinate test tasks

  • Negotiate rates and terms

E. Oversee Freelancer Performance

  • Monitor weekly performance

  • Ensure deliverables meet expectations

  • Ensure freelancers stay committed until project completion

  • Address problems early

  • Replace freelancers when necessary


5. WHEN — Expected Working Timeline

This is a long-term role because we frequently hire freelancers.

Weekly tasks include:

  • Posting new job ads

  • Screening incoming applicants

  • Interviewing candidates

  • Presenting final picks

  • Monitoring active freelancers

Expected commitment: 5-7 hours per week, long-term.


6. Deliverables (Clear & Measurable) Within 2 weeks of joining

  • Set up a full hiring pipeline

  • Start sourcing talent for ongoing roles


Monthly

  • Successfully recruit high-quality freelancers for each open role

  • Maintain an active list of backup candidates

  • Provide weekly reports on freelancer performance


Continuous

  • Ensure every freelancer is reliable, skilled, and consistent

  • Reduce turnover and increase project completion rate


7. QualificationsRequired

  • 2–5 years experience in HR / Talent Acquisition

  • Experienced hiring on online platforms

  • Strong understanding of digital/tech roles

  • Excellent English communication

  • Ability to judge freelancer reliability

  • Professional, detail-oriented, organized


Preferred

  • Experience in tech startups

  • Understanding of AI tools (CapCut, Runway, VideoExpress)

  • Ability to design skill tests

  • Experience managing remote teams
