Field Trip Database Project Summary

 

Thank you for your interest in developing a Microsoft Access Database for our Field Trip programming.

The Center for Science Teaching and Learning (CSTL) is a 501(C3) organization that delivers educational science programs for the public, schools, and students. One feature of our programs is Field Trips. Field Trips consist of schools signing up to visit. CSTL is looking to hire a GURU that can create a robust database that can function to streamline the booking and invoicing. The goal is to create a staff friendly User Interface that allows the user to select the Type of Field Trip, Create a Balance Sheet, Dynamically Send  A Confirmation Invoice, and Finally Place the Field Trip in a Office 365 Calendar (Field Trip@CSTL.org).  CSTL currently offers 6 field trips topics that can be found here: https://cstl.org/field-trips/

Attached are sample of a previous MS Access Database we had developed for our Summer Program, it is more complicated and can be used as a reference or sample of what has worked for us for the last 20 years. Any development and suggestions to improve on this model are favorable and should be recommended as solutions when possible.  

Here is what CSTL does mandatorily needs to get the project to it’s first milestone but is also open to discussion with the selected GURU Freelancer:

  1. A process similar to the Summer camp database that utilizes a fluid process to that takes in a Field Trip Client, generates a confirmation that can also act as an invoice
  2. We would like for the Scheduled Field Trip to appear on a Microsoft calendar we share with the Office 365 Platform. We use a dedicated e-mail and calendar under Fieldtrip@cstl.org Screenshot Below:

  

  1. Dynamically add up field trips fees into a final confirmation/Invoice.
  2. Dynamically populate an e-mail with a pre-written message and attached Confirmation/Invoice
  3. The database needs to be able to generate an invoice/confirmation. This confirmation will auto-populate an e-mail with a pre-written message and the confirmation already as an attached PDF/image. Drop-Down Menus and relevant “quick selection” buttons should be a part of the process as often as possible. See attachment.

  1. The Field Trip Database will provide Quick and easy Reports, such as: 
  1. A Report that shows all unpaid balance
  2. A General Account Report on any Given School
  3. A LOOK-UP Feature in the database that can show what schools have signed up for in previous years. Often Schools repeat their previous year experience but cannot remember what Field Trip they did.
