About Us

We operate a premium adventure membership company producing high-end, curated excursions across North America (diving, climbing, tactical training, wilderness expeditions).


Our experiences are logistically complex and hospitality-driven. Precision matters.


We are hiring an Operations Manager to ensure excursions run flawlessly so the founder can focus on brand growth and audience building.



Role Overview

You will own the operational execution of all excursions.

This is not a basic VA role.

This is a detail-heavy operations role requiring autonomy, judgment, and strong communication.

You will work US hours (Central or Eastern preferred).




Core Responsibilities

1. Excursion Operations (Primary)

- Manage live, upcoming, and future excursions in Asana

- Confirm hotels, host travel, professional instructors, and logistics

- Track attendee travel details and monitor delays

- Collect and maintain: Emergency contacts, Allergies / dietary needs, Guest details
- Prepare and distribute packing lists
- Coordinate attendee gifts and materials
- Create and manage Discord groups per event
- Conduct post-event wrap-ups (feedback, notes, payments)

2. Systems & Communication Oversight

- Daily system checks (website forms, SMS, email workflows)
 - Monitor inbound messages (SMS, Discord, chat tools)
 - Keep communication pipelines clean and responsive
 - Maintain member records and internal notes

3. Project & Vendor Management

- Keep Asana projects moving
- Coordinate freelancers when needed
- Maintain vendor relationships
- Track excursion-level budgets (estimated vs actual)
- Approve professional payments post-event

4. Reporting & Risk Tracking

- Maintain incident log
- Identify upcoming operational risks
- Provide concise weekly operational summary


Requirements

  • Available during US Central or Eastern time zones
  • Strong written English
  • Extremely detail-oriented
  • Comfortable managing travel logistics
  • Comfortable using: Asana, Zoho tools, Communication tools (SMS platforms, Discord, Slack)
  • Able to anticipate problems before they escalate
  • Calm under pressure
