Executive Assistant with Technical, ClickUp, Social Media, and Ecommerce Focus


Position Overview

We are seeking a highly organized, tech-savvy Strategic Operations & Project Manager who also functions as an Executive Assistant with deep technical and systems expertise. This role serves as the operational bridge between executive leadership, independent development teams, and growth channels including social media and ecommerce.

This position is critical to eliminating executive bottlenecks. The ideal candidate owns ClickUp as the central operating system, translates vision into structured execution, and ensures accountability across developers, marketers, and contractors. You will free leadership from daily quarterbacking while enabling scale across automation, content, and revenue-generating platforms.



Core Responsibilities

1. ClickUp-Centered Project Management & Execution

  • Own ClickUp as the single source of truth for all projects, tasks, timelines, and dependencies.

  • Architect and maintain ClickUp Spaces, Folders, Lists, dashboards, automations, templates, and reporting.

  • Translate executive vision into clear, prioritized daily and weekly tasks for developers and operators.

  • Run daily and weekly standups, track progress, and enforce accountability without executive micromanagement.

  • Monitor milestones, deadlines, and deliverables across multiple brands and business units.

  • Proactively identify blockers, risks, and scope creep and resolve them before escalation.


2. System Building, Automation & QA Oversight

  • Design, document, and maintain SOPs for automation-heavy operations.

  • Oversee integrations and workflows across Zoho CRM, Go High Level (GHL), Twilio, WordPress, ecommerce platforms, and automation tools including Zapier, n8n, and Make.

  • QA, stress-test, and validate AI bots, CRM workflows, funnels, and automations prior to release.

  • Recommend and implement automation and AI solutions to reduce manual work and improve efficiency.


3. Social Media & Ecommerce Operations Management

  • Coordinate execution of social media workflows including content scheduling, approvals, asset handoffs, and performance tracking.

  • Manage task pipelines for organic content, paid campaigns, influencer or partner initiatives, and creative production.

  • Oversee ecommerce operational workflows including product launches, website updates, promotions, and funnel optimization.

  • Track key performance indicators across social and ecommerce channels and report actionable insights to leadership.

  • Ensure alignment between marketing, ecommerce, automation, and development teams.


4. Executive Assistance & Strategic Support

  • Manage executive inboxes with intelligent triage, drafting, and escalation.

  • Own calendar management and scheduling across multiple ventures and time zones.

  • Prepare concise daily or weekly executive briefings covering progress, risks, blockers, and next actions.

  • Anticipate leadership needs, propose process improvements, and research tools that support scale and automation.

5. Team Coordination & Communication Management

  • Partner closely with the Executive EA, enabling her to focus on tactical coordination and content support.

  • Act as the communication hub between leadership, developers, marketers, and contractors.

  • Manage remote teams across time zones, primarily Middle East and global contractors.

  • Maintain outcome-based accountability systems so leadership reviews results, not process.


Skills & Experience Required

  • Advanced ClickUp expertise required including dashboards, automations, templates, reporting, and system architecture.

  • Proven experience in Operations Management, Project Management, or Executive Assistance within a tech-driven or digital business.

  • Strong background in social media operations and ecommerce management.

  • Hands-on experience with CRM and automation platforms including Zoho CRM, Go High Level, Twilio, Zapier, n8n, and Make.

  • Experience managing remote and global teams across multiple time zones.

  • Ability to design and communicate workflows visually using tools such as Figma, Miro, Lucidchart, or Notion.

  • Excellent written and verbal English communication skills.

  • Highly organized, proactive, and solutions-oriented with a strong ownership mentality.

  • Ability to think strategically at the vision level while executing tactically day to day.

  • Comfortable operating in fast-moving, automation-first, AI-enabled environments.
