We are seeking a highly organized and detail-oriented Virtual Assistant for Accounting to assist our team with a variety of accounting and administrative tasks. Key Responsibilities:
Bookkeeping Support: Maintain accurate records of financial transactions, including accounts payable and accounts receivable. Ensure timely entry and categorization of expenses, invoices, and payments.
Invoice Management: Create, send, and track invoices to clients, ensuring payments are collected on time. Follow up on overdue invoices and maintain communication with clients regarding billing issues.
Reconciliation: Reconcile bank statements, credit card statements, and other financial records with accounting software (e.g., QuickBooks, Xero) to ensure accuracy.
Payroll Support: Assist with payroll processing, including timesheet verification, payroll data entry, and preparing payroll reports for the accounting team.
Tax Preparation Assistance: Assist with the preparation of tax documents by organizing financial records and ensuring all required documents are up to date.
Financial Reporting: Prepare monthly, quarterly, and annual financial reports, including profit and loss statements, balance sheets, and cash flow statements for review.
Budget Tracking: Help track budgeted versus actual expenses and assist in the creation of financial forecasts and budgets.
Data Entry: Accurately input financial data into accounting software and spreadsheets, ensuring correct categorization and no errors.
Administrative Support: Provide general administrative support to the accounting team, including scheduling meetings, managing emails, and filing documents.
Document Management: Organize and maintain financial records, receipts, and supporting documentation in a secure digital filing system.
Client Communication: Act as a liaison between clients and the accounting department to resolve billing, payment, and other finance-related issues.
Experience: Previous experience as a virtual assistant or in an accounting support role is highly preferred.
Accounting Knowledge: Familiarity with basic accounting principles (e.g., general ledger, double-entry bookkeeping, financial reports).
Software Proficiency: Strong knowledge of accounting software (QuickBooks, Xero, FreshBooks, etc.) and proficiency in Microsoft Excel or Google Sheets.
Attention to Detail: Exceptional attention to detail and accuracy in data entry, financial records, and reports.
Communication Skills: Strong written and verbal communication skills to handle client communication and report preparation.
Organizational Skills: Ability to prioritize tasks, manage deadlines, and work independently in a remote work environment.
Confidentiality: Strong understanding of confidentiality and data privacy in handling financial information.
Technical Skills: Must be tech-savvy with the ability to use various virtual collaboration tools (e.g., Slack, Trello, Zoom) and online document management systems (e.g., Google Drive, Dropbox).
