Zoho CRM Automation Developer – Phase 1

Workflow Automation Phase: Phase 1 of 2 (Quote-to-Signature Automation)

Project Summary:

We are looking for an experienced Zoho developer or consultant to help us build a custom workflow within Zoho CRM (and possibly Zoho Sign) to automate our roofing quote delivery and client signature process. This project will be implemented in phases, with the current job focusing on Phase 1 only.
However, the system must be built with Phase 2 in mind for future scalability.

Phase 1 Scope: Automated Quote-to-Signature Flow
Goal:To automate the process from quote generation to customer signature using Zoho CRM and Zoho Sign or CRM's built-in tools.

Expected Workflow:
Trigger Point:
A staff member generates a quote in Zoho CRM (via native quote module or custom module).
Action:
Upon quote creation (or quote status = “Ready to Send”), Zoho will automatically:
Generate a templated document (contract) with merged fields from Zoho CRM (customer name, address, project details, pricing, etc.).
Attach that document to an email or web-based signing flow.
Email/Signature:
The customer receives an email (or link) with the templated document for digital signature.
Signature should be handled either:
Through Zoho Sign, or
Through CRM-integrated web-based approval (if simpler in Phase 1).
Status Update:
Once the customer signs, the CRM should update the quote status to “Signed” or “Accepted”.

Tools & Integrations Required:
Zoho CRM (core platform)
Zoho Sign (preferred for digital signatures)
Zoho Writer (Mail Merge) or equivalent for templated documents
Zoho Deluge (for custom scripting/logic where needed)
Zoho Flow (if needed for no-code orchestration)

Phase 2 (Background Planning Only): Automated Invoice & Payment Link Flow
While this is not part of this job, we want the freelancer to structure Phase 1 with the following in mind:
Future Phase 2 Goals:
Trigger: When a quote is signed/accepted.
Action:
Automatically generate an invoice in Zoho Books (or CRM-integrated module).
Email the invoice to the customer with a payment link (Zoho Checkout or Books).
Integration: Payment status updates the CRM record automatically.

Deliverables (Phase 1):
Functional, tested workflow as described above
One reusable document template with dynamic merge fields
Signature flow setup (via Zoho Sign or CRM-native tool)
Admin-facing documentation on how the flow works and how to modify the template
Recommendations on Phase 2 readiness (field mapping, dependencies)

Ideal Candidate Qualifications:
Strong experience with Zoho One, especially CRM, Sign, Books, and Writer
Proven track record building automated flows in Zoho using Deluge and/or Zoho Flow
Experience with document automation and e-signature systems
Familiarity with construction or service industry (roofing preferred) is a plus
Strong communication skills to document processes and suggest improvements
