• Preparing Daily & Weekly Site Allocation report. • Answers/transfer telephone calls and relay messages to concerned personnel. • Make Local Purchase Order (LPO) after receiving the Material Requisition Form from concerned staff and after receiving all quotation from suppliers • Coordinate with HR and other Project coordinators, to arrange photos & application signature once the gate pass applications are prepared. • Coordinate with all Subcontractors for documentation related to gate pass for their personnel, Vehicle. • Coordinate with Client for issues related to gate pass applications for manpower, equipment, vehicle, etc. • Preparing Monthly and Daily Tracker for Absent Report. • Coordinate with HR for the project manpower requirements. • Handling project petty cash and monitoring petty cash expenses. Send periodic petty cash reports to Accounts Department. • Arrange transportation for staff, site personnel & site materials. • Provide assistance in Administration concerning sub-contractor manpower and prearrangement of contracts and other related needful information. • Coordinating with sub-contractor invoices, claims, requisition, and other related issues. • Formulating monthly payroll for timely and accurate submission of payroll records (Leave & medical claim administration) Such as attendance summary, leave summary, other deductions to payroll employee wise in specified format for processing payroll. • Mobilizing & demobilizing of manpower, equipment and vehicle as per the site & projects requirement & coordination of weekly management & contractors meeting, organizing safety orientation programs. • Coordinating with Travel Agency for the Processing of flight Tickets. • Communicate with employees on their well-being and listen / act on their grievances. • Monitoring and maintaining office equipment, inventory supplies; orders replacement supplies as needed. • Preparing travel arrangements for office staff and managers; overseeing and preparing expense reports and budgets. • Assume management responsibility for assigned services and activities of the Administrative division within an assigned department including purchasing, budgeting, accounting, personnel, information technology, and administrative support programs and services. • Manage and participate in the development and implementation of goals, objectives, policies, and priorities for assigned programs; recommend and administer policies and procedures. • Monitor and evaluate the efficiency and effectiveness of service delivery methods and procedures; recommend, within departmental policy, appropriate service and staffing levels. • Plan, direct, coordinate, and review the work plan for assigned staff; assign work activities, projects, and programs; review and evaluate work products, methods, and procedures; meet with staff to identify and resolve problems. • Perform a variety of personnel administration functions; review employee evaluations; ensure accuracy and completeness.
