We are looking for an ongoing Systems & SOP Documentation Specialist to help document, organise, and continuously improve the way our construction business operates.

We are a growing construction business and one of our biggest internal bottlenecks is getting our systems, workflows, and SOPs out of people’s heads and into clear, usable documentation. We need someone who can take messy, evolving business processes and turn them into structured, practical, easy-to-follow systems.

This is not a one-off task. It is an ongoing role. Our business is changing, and we will soon be implementing new software, so our documentation needs to be adaptive and continuously updated as processes evolve.

What we need help with:

  • Reviewing our current business processes and identifying gaps
  • Interviewing team members / extracting information from us in a simple way
  • Creating clear SOPs, checklists, workflows, templates, and process maps
  • Organising documentation into a logical system that is easy to access and maintain
  • Updating documents as our software, systems, and responsibilities change
  • Helping standardise how work is done across the business
  • Potentially assisting with documenting new software workflows as we roll them out

Areas of the business may include:

  • Lead management / sales handover
  • Estimating
  • Pre-construction
  • Project management
  • Site management
  • Purchasing / procurement
  • Variations
  • Client communication
  • Contract admin
  • Invoicing / admin workflows

What we are looking for:

We want someone who is strong in business process documentation, SOP creation, and operational systems thinking. You must be able to take incomplete verbal information and turn it into something structured and useful. We are not looking for someone who just makes documents look nice — we need someone who can actually understand workflow, ask smart questions, and build practical systems.

Ideal experience includes:

  • SOP writing
  • Process mapping
  • Operations documentation
  • Business systems improvement
  • Change management
  • Experience with construction, trades, project-based businesses, or service businesses is highly regarded

Important:

Our systems are not static. We are improving the business as we go, and we need someone who can work with that. The right person will ideally become an ongoing support resource for documenting, refining, and maintaining our internal systems over time.
