Programming & Development Database Design & Administration


Objective:Develop and deploy fully integrated Job Site Checklists, Quality Control Forms, Daily Toolbox Talk, and JHA/JSA modules within Zoho FSM, ensuring field compliance, safety tracking, and photo documentation.


We have the checklist data.  See below for example 



Responsibilities

  1. System Architecture & Workflow Design

    • Build digital pre-job, daily, and quality control checklists directly in Zoho FSM.

    • Configure job forms to automatically attach to corresponding work orders and projects.

    • Ensure all checklists are timestamped and GPS-tagged when submitted from mobile devices.

    • Create automation to flag incomplete or non-compliant submissions.

  2. Form Development

    • Pre-Job Checklist: Generic and trade-specific templates (e.g., asphalt shingle roofing).

    • Daily Job Checklist: Includes safety, QC, WorkSafe, and insurance compliance verification.

    • Quality Control Checklist: Photo upload, sign-off fields, and auto summary generation.

    • Daily Toolbox Talk Form: Crew attendance with electronic acknowledgment fields.

    • JHA/JSA Form: Task-based hazard analysis, control measures, and crew acknowledgment signature.

  3. Crew Acknowledgment & Signatures

    • Integrate digital signature fields for crew acknowledgment of Toolbox Talks and JSAs.

    • Store signed records automatically in the project folder for compliance audits.

    • Enable offline form completion on mobile devices with automatic sync when connected.

  4. Data Management & Reporting


  5. Integrations & Automation

    • Automate photo and checklist uploads to the correct project folders.

    • Enable email or SMS alerts for incomplete or overdue safety documentation.

  6. Testing & Training

    • Test all forms across mobile and web versions.

    • Provide training materials or video walkthroughs for field supervisors and admins.

    • Document all workflows, permissions, and user roles.


Requirements

  • Proven experience customizing Zoho FSM, Zoho Creator, or Zoho Forms.

  • Strong understanding of field service operations, especially in construction or roofing.

  • Ability to create conditional logic, approval workflows, and automated notifications.

  • Experience with digital signatures, photo fields, and document automation.

  • Familiarity with WorkSafeNB and general contractor safety documentation standards preferred.


Deliverables

  • Fully functional Zoho FSM modules for:

    1. Job Site Checklist (Generic + Trade-Specific)

    2. Quality Control Checklist

    3. Daily Toolbox Talk Form (Crew acknowledgment required)

    4. JHA/JSA Form (Crew acknowledgment required)

  • Dashboard and automated reporting system for management oversight.

  • Documentation and training package for internal users.





Altitude Roofing – Pre-Job Preparation Checklist

Used once before mobilization to confirm readiness. Daily QC handled separately.


1. Administrative

  • Contract, scope of work, and schedule reviewed and approved

  • Budget, quote, and payment terms confirmed

  • Permits, inspections, and utility locates verified

  • COI, WCB/COR letters, and subcontractor agreements on file

  • Submittals, QA/ITP plan, and hold points approved

  • Client contact and communication protocol confirmed

2. Safety & Compliance

  • Site-specific safety plan drafted

  • JHA/JSA template prepared for project start

  • Fall-protection and rescue plan designed for roof layout

  • First-aid kit, fire extinguishers, and spill kit stocked

  • Emergency contacts and muster point established

  • All crew certifications current (fall arrest, WHMIS, first aid)

3. Site Logistics

  • Access route and laydown area confirmed with property owner

  • Traffic and pedestrian control plan complete (if needed)

  • Fencing, signage, and lighting plan approved

  • Sanitary, break, and first-aid stations planned

  • Temporary power and water available and tested

  • Material delivery and bin placement coordinated

4. Environmental

  • Dust, debris, and noise-control measures defined

  • Waste segregation and disposal plan in place

  • Fuel and chemical storage areas designated

  • Erosion and sediment controls planned (if applicable)

5. Materials & Equipment

  • Delivery schedule reviewed and confirmed

  • Material storage area protected from weather

  • Equipment inspections and maintenance current

  • Anchors, ladders, and fall-arrest systems inspected

  • Tools and consumables checked for availability

6. Quality Assurance

  • Benchmark sample or mock-up reviewed

  • Inspection and photo checklist templates prepared

  • Material certifications and product data sheets filed

  • Reporting method set in Zoho (QC forms and photo uploads)

7. Pre-Mobilization Sign-Off

  • Foreman and Project Manager review complete

  • Client informed of start date and access plan

  • Weather forecast checked for initial work window

  • All required documentation stored in project file
