Zoho One Expert Needed to Build Complete Member Onboarding and Workflow Automation System
Communyti is seeking an experienced Zoho One Expert, Zoho Developer, or Zoho Solutions Architect to help us build and automate a complete member enrollment, onboarding, Sponsor lead-sharing, scheduling, project management, communication, support, and financial workflow.
We are not looking for someone who simply knows how to create a form or basic CRM automation.
We need someone who understands how the Zoho applications work together and can take a real-world business process from beginning to end.
The Process We Need to Build
A prospective Member may find Communyti through Facebook, another online source, a nonprofit organization, a Sponsor, a Communyti Advocate, or a QR code.
The person will be directed to a Communyti landing page, select the appropriate enrollment path, and complete a Zoho Form.
That submission should begin an automated workflow.
The Member's business or organization should be created or updated in Communyti's Zoho CRM as an Account, with the individual properly connected as the primary Contact.
When a Member enrolls through an approved Sponsor and the appropriate consent is provided, selected information from the same form submission should also be delivered to the Sponsor as a Lead.
The system must track where each Member came from, including Sponsor, organization, Advocate, campaign, QR code, or other referral source.
After enrollment, the Member should be sent to a confirmation page and invited to schedule an onboarding appointment through Zoho Bookings.
Once the appointment is booked, we need an automated workflow that:
updates the correct CRM record;
creates a Zoho Project for the Member onboarding process;
creates or assigns the required onboarding tasks;
creates the corresponding Zoho Meeting;
emails the Member their appointment and meeting information;
and notifies the assigned Member Onboarding Specialist.
The onboarding process will include:
an initial recorded Welcome and Story Call;
completion of a Member Intake Form;
story and listing preparation;
follow-up scheduling;
a Site Survey;
business verification;
delivery of a Member Badge and Welcome Packet;
and completion of a Member Wish List.
We need these stages tracked through Zoho CRM and Zoho Projects so our team can immediately see where every Member is in the process.
Zoho Applications Involved
The person we hire should be experienced with several or all of the following:

We want these applications working as one connected system.
Zoho CRM should serve as the central Member relationship system.

Zoho Campaigns should manage Member communication, segmentation, Sponsor campaigns, and onboarding communication.
Zoho Desk should maintain connected support and service history.
Zoho Projects should manage the actual onboarding work and task process.
Zoho Bookings and Zoho Meeting should manage appointments and online onboarding conversations.
Zoho Forms should gather structured information throughout enrollment and onboarding.
Zoho Flow, Deluge, APIs, webhooks, or other appropriate tools may be used where needed.
We want the most reliable solution, not unnecessary complexity.
Sponsor Lead Sharing Is a Major Requirement
A Sponsor may pay for or support a Member's participation in a Communyti program.
When a Member enrolls through a participating Sponsor, the Member should become a Communyti Account and Contact in our CRM.
At the same time, the Sponsor should receive the appropriate information as a Lead in its own designated CRM or lead-management environment.
We need a secure and organized process that can:
identify the correct Sponsor;
route the correct information;
prevent duplicate records;
track whether the Lead was successfully delivered;
and maintain the connection between the Communyti Member and Sponsor relationship.
We expect to work with multiple Sponsors, organizations, Advocates, campaigns, and QR codes.
The system must be scalable.
We do not want to rebuild the entire workflow every time a new Sponsor is added.
Member Data Must Stay Connected
We need a consistent way to identify and synchronize the same Member across the Zoho ecosystem.
A Member should not become an unrelated Account in CRM, a separate customer in Books, another unrelated contact in Campaigns, and a disconnected customer in Desk.
The system should keep Member information connected across applications while allowing each Zoho application to serve its proper function.
We also need a clear strategy for:
duplicate prevention;
record updates;
data synchronization;
failed workflow handling;
retry logic;
Sponsor attribution;
appointment status;
onboarding status;
project status;
support history;
communication status;
and financial relationship status.
What We Need From You
The selected expert should be comfortable:
designing Zoho CRM modules, fields, layouts, relationships, and automation;
configuring Zoho Forms and mapping submissions;
building workflows in Zoho Flow;
writing Deluge functions when necessary;
working with Zoho APIs and webhooks when needed;
connecting Zoho Bookings to CRM records;
automatically creating Zoho Projects and tasks;
creating Zoho Meeting workflows;
automating Member email notifications;
configuring CRM and Books synchronization;
configuring CRM and Campaigns synchronization;
connecting CRM with Zoho Desk;
building Sponsor Lead-routing workflows;
creating duplicate-prevention logic;
building workflow status tracking and exception handling;
testing the full process from beginning to end;
and documenting the system so our team can understand and maintain it.

You should understand Zoho One as an ecosystem, not just one or two individual applications.
The ideal candidate can listen to a business process, understand what we are trying to accomplish, identify problems, and recommend the simplest reliable way to build it.

We do not want someone who agrees with every idea and then creates an unnecessarily complicated system.
