Documentation, Registration, communication, team leader, Invoicing, Quotation,Microsoft office, sales force, SAP, customer service, Presentation. 1.Sales Co-ordination reporting to RSM. 2. Product Registrations and approvals. 3. Weekly Reports for weekly meetings. 4. Offering after-sales support services, Stock Reports. 5. Analyzing costs, sales and Customer data base. 6. Receive and register all incoming enquiries by fax/email or verbal. 7. Preparation & dispatch of quotations as per estimation in coordination with SE’s/SM. 8. Assist SM /SE in Maintain enquiry-quotation file incorporating customer enquiry, contract review, checklist, quotation and any other documents related to the enquiry. 9. Ensure that written acceptance of our offer/ purchase order/ contract is received prior to opening the job order. Verification of all relevant documents in Sales Department. 10. Opening Job Orders & carry out SAP-ERP system immediately on receipt and Ensure order release and distribution to respective departments. Seek necessary approvals from SM for deviations if any. 11. In case of an amendment / CAR to the order, inform Production/QC department immediately and arrange to effect corrections wherever necessary including computer entries to the job order. Monitor Order Progress and update. 12. Delegate work to sales assistant & Sales Driver as necessary. 13. Proper timely coordination with all the departments, Communication/ Correspondence, executions and follow–ups of the WIP Job orders/projects with inter-department (Production, Stores, Purchase, Estimation, Account as necessary) and customers; review priorities & maintain documentation evidences of follow-ups, & forward feedbacks to SM & SE’s. 14. Co-ordinate prompt dispatch of finished goods and forward DO / Invoice to customers through dispatch or concerned personnel. Prepare supporting documents/ legalization/attestation & other documents as needful. Receive acknowledgements. 15. Attend walk-in customer requirements in absence of SE’s. 16. Arrange for collection of samples & CSP from customers; Sales Documents courier. 17. Carry out weekly follow up receivables and arrange for collection of cheque/cash. Summarize receivables and collection projections on weekly and monthly basis. Inform SE’s and SM accordingly. 18. Assist S.E/SM in getting the credit approvals prior to opening job orders; in follow-up on delivery, Invoicing, DO’s not invoiced, outstanding job orders regularizations, highlight service orders monthly closures, item awaiting delivery and initiate actions as necessary. 19. Seminars, Conferences, Exhibitions arrangement and coordination, brochures, samples, marketing tools plan and implement as per SM instructions. 20. Assist in data entry & prepare reports as required by SM. Any other works as & when specified by SM. 21. General filing & ; documentation. 22. Other administrative duties as applicable to a Sales Secretary /Sales Support Officer.
