Publish tender advertisement in website, issuing tender documents to bidders (suppliers), prepare tender collection sheet, update SharePoint with Bid Closing Date. Effectively used SharePoint to filter tender reference by 'bid closing date'. • Review submissions for tender committee meetings, prepare and publish agenda, organize meetings, prepare and publish minutes of meetings, track and update follow-up action items. • Receive bids from suppliers, prepare bid receipt reports and arrange bid openings with tender committee members. • Management of tender bonds- by hard copy filing and SharePoint list. • Plan and create SharePoint Lists and Document Libraries, update data on timely basis for all tendering related information. • Prepare presentations for Quarterly Performance Review. Analyse data related to bids received, technical bids opened, commercial bids opened by exporting to MS Excel from SharePoint list and then reporting using Pivot table. • Ensuring all related policies and procedures with regard to submissions for tender committee meetings, member invitation to tender committee meetings, information sharing, tender document publishing, Bid Receipt and Bid Opening are followed. • Functional/ process designing and testing of projects related to implementation of electronic bidding system (Smart by GEP) and electronic submission and meeting modules. Create supplier profile and RFx (request for quotation) in electronic bidding system. Focal point for trouble shooting and training users and liaising with software vendor for system issues. • Appreciated by management for bringing changes that simplified processes in tendering section. This was done by creating datasheet views in SharePoint for easy data entry, modifying acknowledgement process for documents going out of section, getting rid of outdated processes, using SharePoint document library for effective storage/ retrieval of files. . Familiar with procurement and contracting division activities.
