CALANDER AND MEETING MANAGEMENT:
• Coordinating and maintaining the executive's calendar, prioritizing meetings, and ensuring schedule alignment with strategic objectives. • Scheduling meetings, preparing agendas, taking minutes, and ensuring follow-up on action items. • Managing meeting logistics, including room booking, catering, and technology setup. • Assisting all levels or personally, as needed, who reported to the Executive Director.
TRAVEL COORDINATION:
• Arranging domestic and international travel, including flights, lodging accommodation, and providing detailed itineraries.
COMMUNICATION MANAGEMENT:
• Drafting and managing correspondence, including emails, letters, and reports. • Acting as a point of contact for internal and external stakeholders on behalf of the executive.
INFORMATION MANAGEMENT:
• Maintaining organized records using company systems, including SharePoint and other document management platforms. • Managing confidential information and ensuring data integrity. • Assisting with data analysis, providing insights to support decision-making. • Management facility location leases/purchases, internal placement and design of floorplans for locations, and coordination of facility management as needed.
OFFICE MANAGEMENT AND TEAM SUPPORT:
• Interviewing/Onboarding new team members, preparing workspaces, and providing necessary resources. • Managing office supplies and equipment. • Creating and processing work orders, purchase orders and invoices for payment according to company processes and standards.
OTHER RESPONSIBILITIES:
• Assisting with budget management and expense reporting. • Acting as a liaison between the executive, their team, and other departments
• Assist with investigation of employee potential compliance violations, working with all levels of field employees, and managers, with disciplinary action and/or corrective plans for violations. • Conduct background checks and fair-market value confirmations for Health care Professionals contracting with Olympus.
