About

My primary role and responsibility is to deliver proactive support and administrative services, including, but not limited to:
Calendar/Meeting Management - Manage and coordinate diaries and schedules with internal and external stakeholders on behalf of the executive. Use judgment in prioritizing and accepting meeting invites. Set meetings in multiple locations worldwide with different time differences. Knowledgeable in setting meeting using one conference, zoom, business skype, video conference and webex across the country and multiple locations worldwide.
Email Management - Screen, respond to and/or action emails as necessary.
Travel Management - Arrange the flight and hotel accommodations of the executive, and other logistical requirements (VISA, transfers, etc.) Adhering strictly to the Corporate Travel Policy. Sees to it that hotel reservation is within the hotel cap rate and travel expense is with in the budget and approved by Leaders. As the SME (subject Matter Expert) in Travel, I update the team regarding travel issues, warnings and others. Creating turbo (kaizen) to simplify processing and to minimize expense. Create matrix to easily understand process/flow of travel policy. Knowledgeable in using online booking tools such as Concur and Serko. Act as point of contact for any travel related concern.
Expense Management -Track and submit expenses for reimbursement or payment requisition and adhering to monthly deadlines. Managing AMEX credit card reimbursements. Sees to it that expenses are within allowable limit and with corresponding valid receipts.
Events Management - Assist in setting up the logistics (venue, catering, electronic equipment) of the event and coordination of invites and monitoring RSVPs
Timesheet Management - Track, enter and submit the worked hours of the executive and adhering to weekly deadlines
Telephone Management - Relay accurate and detailed messages, and action or transfer calls to the executive as required
Various ad hoc tasks
