Work Terms
1. Scope of Services
As your Executive Assistant, I will provide virtual administrative support including, but not limited to:
Bilingual communication (English and Chinese) for internal and external correspondence
Calendar and multi-time-zone meeting coordination
Travel planning and logistics
Document preparation (meeting agendas, summaries, email drafts)
Applicant coordination and interview scheduling
Other administrative tasks, as mutually agreed
2. Deliverables & Turnaround
Meeting agendas: delivered 24 hours prior to meeting time
Travel itineraries: finalized 48 hours before departure
Other tasks: delivered within 1–2 business days after assignment, unless otherwise agreed
3. Fees & Payment Terms
Hourly rate: $35/hr
Invoicing: Weekly; payment due within 15 days of invoice date
Overdue payment: 5% per week late fee on any unpaid balance
4. Availability & Response Times
Available Tuesday to Thursday, 9 AM–4 PM PT
Urgent messages received outside these hours will be addressed the next business day
Please respond to clarifications or approvals within 2 business days to avoid delays
5. Termination
Either party may terminate with two (2) weeks’ written notice
If the client is unresponsive for 30 consecutive days, the agreement may be considered terminated
6. Confidentiality
I am committed to maintaining full confidentiality. All shared documents and information will remain private and will not be disclosed or used beyond our engagement, indefinitely.
7. Intellectual Property & Portfolio Usage
Upon full payment, all deliverables become the client’s property. I reserve the right to use anonymized versions of materials (agenda templates, workflows, schedules) as portfolio examples.
8. Independent Contractor Status
I operate as an independent contractor, not an employee. Clients are not responsible for withholding taxes or providing benefits. I retain full control over how and when the services are performed within agreed guidelines.
